Software & Automation / QuickBooks Integration
ServiceQuickBooks integration services
Your accounting system knows what you spent. Your operations system knows what you spent it on. Connecting those two facts is most of the value, and it is where most integrations quietly fail.
Almost every business over about five people ends up running QuickBooks alongside something operational — a job management platform, a CRM, a field app, a scheduling tool. Each one is good at its job. None of them agrees with the others.
So somebody re-types. A job gets set up twice. A supplier invoice gets coded in one system and entered in another. At month-end, someone exports both to a spreadsheet and reconciles by hand, and the answer arrives after the decisions have already been made.
Why most QuickBooks integrations disappoint
Not because the sync fails. Because the mapping is wrong, and a wrong mapping produces numbers that look confident and reconcile cleanly while being useless.
QuickBooks thinks in customers, accounts, classes and items. Your operational system thinks in jobs, cost groups, phases or projects. There is no single correct translation between those, only a set of decisions — and those decisions determine whether you can ever answer “what did that job make?”
The question that exposes a bad integration: take a repeat customer with three jobs running. Can you see profitability on each one separately, without exporting anything? If not, the mapping was decided by whoever clicked through the setup wizard.
What we actually do
Map before we build
Your chart of accounts against your operational cost structure, line by line, with an explicit decision recorded for each.
Two-way where it helps
One direction per field. Two systems owning the same value is a race condition, not a feature.
Fail loudly
An unrecognised cost code raises an exception for a person. It never falls silently into a miscellaneous bucket.
Handle the awkward cases
Retainage, deposits, progress billing, vendor credits and supplier invoices that span several jobs.
Audit trail
When a controller asks why a cost landed where it did, the answer takes seconds, not an afternoon.
Keep it running
APIs change, tokens expire, someone adds a cost code. Monitored, not fire-and-forget.
Systems we commonly connect to QuickBooks
Job and project management platforms including JobTread and Buildertrend; CRM and sales systems; cloud phone and messaging platforms; field, scheduling and time-tracking tools; and spreadsheets that have quietly become production systems.
The list is not a limit. If a platform has an API we can work with it, and when it does not, a scheduled export, webhook or monitored file drop usually does the job. The honest constraint is rarely the software.
How an engagement runs
- Free audit Thirty minutes. We map what you run, where data is re-entered, and which questions currently take too long to answer. You get the findings in writing either way.
- Mapping document Every cost code, every account, every decision about who owns what. This is reviewed and agreed before any code is written.
- Build and backfill Shipped in stages so you get value before the whole thing is finished. Historical data reconciled where it is worth doing.
- Monitor Exception queue, alerting, and someone who owns it when a vendor changes their API.
On cost: we don't publish a price because the honest range is too wide to be useful — a single clean connection is a different job from reconciling two years of drifted cost codes. The audit exists to replace a guess with a number.
Questions
Do you work with QuickBooks Desktop or only Online?
Online is where most of the work is, and its API is considerably better. Desktop is possible but constrained — it generally needs a connector running on a machine that has access to the company file, which adds moving parts. We will tell you honestly which situation you are in during the audit.
Will this replace my bookkeeper?
No, and be wary of anyone who says otherwise. Automation removes data entry, not judgement. Someone still has to decide how an unusual transaction should be treated. What changes is that your bookkeeper spends their time on the judgement rather than the typing — which is also where they add the most value.
How long does a QuickBooks integration take?
A straightforward connection is typically weeks rather than months, and we ship in stages so value arrives before the whole project is finished. The variable is almost never the code — it is how much your cost codes have drifted from your chart of accounts, which is exactly what the audit measures.
What happens to the integration if we stop working together?
It keeps running. Integrations run under your own accounts and API keys, the code and documentation are yours, and another developer can take it over. We would rather earn the next engagement than rely on you being unable to leave.
Find out what's actually connectable
The audit maps your chart of accounts against your operational cost structure and tells you what a clean integration would take. In writing, whether or not you hire us.
